Purpose of Sports Nutrition Coaching
I understand that the primary purpose of sports nutrition coaching is to provide guidance and support in optimizing my nutritional intake to enhance my overall athletic performance, energy levels, and overall well-being.
Scope of Services
I acknowledge that the sports nutrition coaching services may include, but are not limited to, personalized dietary assessments, nutritional guidance (calorie and macronutrient calculations, habit building strategies, meal timing), meal planning, exercise programs and ongoing support and communication. Caitlin Tinn Therapy will not provide guidance outside their scope of practice, where such guidance is required the client will be referred to an appropriately qualified professional.
Privacy and Confidentiality
Data Collection and Storage: Questionnaires will be obtained and stored on a patient specific software which is password protected. Consultations will be conducted either face-to-face in clinic or online from the privacy of my office space with a closed door so personal client information cannot be overheard. If consultations are online, then clients are recommended to join the consultation from a private location.
A record of each consultation with be kept securely on a patient software system which is password protected. Records will be accurate, detailed, timely, and secure ensuring it is in line with the SENR record keeping guidelines. Records will be legible, indelible, complete, and up-to-date, with entries made as soon as possible after a consultation. All relevant information about concerns, actions taken, and decisions made will be included. Finally records will be made accessible to other health professions when written consent is obtained.
The services provided shall be binding only between Caitlin Tinn Therapy and the client. The client may not sell, assign, or transfer their rights, any purchased services to any other party.
Confidentiality Agreement
Informed consent is obtained before the start of any consultation. I acknowledge that all information shared during the coaching sessions, including personal and health-related details, will be kept confidential by the Caitlin Tinn Therapy and will be stored on password-protected software. However, I understand that there are limits to confidentiality, and the coach may need to breach confidentiality if there is a risk of harm to myself or others. I understand that I can access my data at any point.

If your consultation was recorded for continuing professional development reflective practise, and your coach wishes to use it for marketing purposes, your coach will seek written consent for them to post the video on social media. You have the right to say no to this request.
If your program was needed to be used as a case study for continuing professional development and needed to be submitted to their register body, then your coach will seek written consent for them to use you as a case study.
Individual Rights

We are committed to non-discrimination and to providing services in the best interests of all clients, regardless of age, disability, gender identity, marital status, pregnancy or maternity, race, religion or belief, sex, or sexual orientation.
The client has the right to:

Health Information Disclosure
The provision of accurate and truthful information about your health status, medical history, dietary habits, and any other relevant details is needed for this coaching to be personalised and achievable.

It is the clients’ responsibility to inform Caitlin Tinn Therapy of any pre-existing medical conditions or injuries that may limit their ability to undertake physical activity. If this is the case, the client may request a letter of ‘medical clearance’ from a GP or exercise practitioner, in order to receive the services provided by Caitlin Tinn Therapy.

It is the clients’ responsibility to inform Caitlin Tinn Therapy of any changes to your health, which may consequently affect their ability to undertake physical activity.

Caitlin Tinn Therapy is not held liable for undeclared or unknown medical conditions or injuries.
Professional Relationship
Caitlin Tinn Therapy is not permitted to diagnose or claim to treat any medical condition, unless nutrition coaching is combined with a physiotherapy treatment package. Nutrition coaching is not a substitute for professional medical treatment. The aim of nutrition coaching is to facilitate the body’s own re-balancing and self-healing in an attempt to alleviate undesirable ill-health conditions and aid sports performance. You are responsible for contacting your doctor with regards to any health concerns you may have.
Nutrition Coaching for Under 18s
Caitlin Tinn Therapy adheres to strict safeguarding protocols. Parental/Guardian consent is required prior to commencing and nutrition coaching. A parent/guardian must be present during consultations (both face-to-face and online). Any nutrition advice given will be age specific and evidence based. There will be no weight-loss strategies recommended unless medically advised/appropriate for their weight specific sport (e.g. pony racing). Confidentiality will be maintained while identifying and reporting concerns, but I understand that sometimes confidentiality will need to be broken to protect the individual. Specific attention will be given to children, older adults, and individuals with disabilities, as they may be more vulnerable to harm.

Assumption of Risks
I am aware that there are inherent risks associated with making changes to my diet and nutritional habits. I understand that the Caitlin Tinn Therapy will take reasonable steps to provide safe and evidence-based guidance, but I acknowledge that results may vary.
Statement of Commitment
This clinic is committed to upholding the principles of fair sport, and complies with the World Anti-Doping Code and national anti-doping regulations. All services provided will respect these obligations.

Athlete Obligations
Clients who are athletes or working in sport must:

disclose their athlete status and whether they are subject to anti-doping rules.

be responsible for ensuring that any treatment, supplements, or medication prescribed/used complies with applicable anti-doping regulations.

agree to provide accurate medical history to avoid inadvertent doping violations.
Clinical Responsibilities

Staff must check all medications, supplements, and treatment plans against the Prohibited List (updated annually by WADA).

Clinic will inform athletes of any potential anti-doping risks before prescribing or recommending treatments.

Where relevant, clinicians will guide athletes through the Therapeutic Use Exemption (TUE) process. Where a client requires the use of a medication or treatment method that is listed as prohibited under anti-doping rules, the clinic will assist in providing appropriate medical documentation for a Therapeutic Use Exemption (TUE). Responsibility for submitting and maintaining valid TUEs remains with the athlete
Payment Policy
Consultation fees are set out on Caitlin Tinn Therapy website (www.caitlintinntherapy.co.uk). The fee for each consultation is payable by cash or card (for consultations in person – payment on the day of the appointment) or by bank transfer (for online consultations – payment taken 24 hours before the appointment). The nutrition coaching documents will not be sent until payment has been received.
Caitlin Tinn Therapy reserves the right to change the pricing of products as it sees fit and your continued use of the services will signify your acceptance of any adjustment to these terms.
All services provided by Caitlin Tinn Therapy are non-refundable.

Cancellations and missed appointments
Appointment confirmation and 24-hour appointment reminders are sent via email. Clients are required to let Caitlin Tinn Therapy know if they cannot attend the appointment either via text or email: caitlintinnnutrition@gmail.com.
Cancellation with less than 24 hours notice will incur the full appointment fee.
An appointment will be considered a no-show 15 minutes into the appointment start time and will incur the full appointment fee.
Communication and Feedback
Regular communication with your coach is essential for the success of the coaching program. Providing feedback, participating actively in coaching sessions, and informing your coach of any challenges or concerns that may arise during the program is crucial to achieving optimal nutrition goals.
The suitability of the nutritional advice and guidance you are given depends, to a large extent, on the accuracy with which you complete the questionnaires and food diary (although clarifications may be made during the consultation).
No responsibility can be accepted if important information is withheld. In particular, you should give full details of diagnosed medical conditions and any medications being taken, details of any changes in diagnoses and/or medication which occur whilst you are following your nutritional programme and full details of any nutritional supplements, homeopathic or herbal preparations you are taking.

The benefits achievable from a nutritional programme vary between individuals with similar health concerns. No claim is made as to the efficacy of any nutritional protocol.

The results you obtain from your nutritional programme will also depend upon your degree of compliance with the advice provided. No responsibility can be accepted in cases of non-compliance.

It is your responsibility to inform your doctor of the nutritional programme you are following, and you are advised to do so even if you are not being treated by him/her. This is to avoid any undesirable interactions between medication and the nutritional programme.
To avoid adverse reactions, it is important that you do not continue any specified dietary or supplement programme beyond the agreed time-period.
You will be fully involved in the decision-making progress regarding the options to be included in your nutritional programme. Either during or after your initial consultation you will be sent details of the programme/plan, including dietary and lifestyle recommendations and a nutritional supplement programme (if applicable).

Your nutritional programme may, with your agreement, include testing, possible nutritional supplement advice and recommendations and exercise.
If you are at all unclear about the nutritional programme/plan, you should contact Caitlin Tinn Therapy promptly for clarification.
Do not be tempted to modify the programme on the advice or a third party, without the consent of Caitlin Tinn Therapy.
Professional Standards

Agreement to Terms
By accessing and using this service, you accept and agree to be bound by the terms and provision of this agreement. In addition, when using this service, you shall be subject to any guidelines or rules applicable to each service. Any participation in this service will constitute acceptance of this agreement. If you do not agree to abide by the above, please discontinue the use of this service or seek clarification regarding any aspect of the coaching service.
